Office Assistant

Work Schedule: Monday - Friday;  8 a.m. - 5 p.m. 

Overview:

The Office Assistant is a key role in this fast-growing company. We need someone who is reliable and organized to manage different demands of a growing business. The office assistant works under the supervision of the Office Manager. This position will perform clerical tasks, answer phones, order and stock supplies, take messages, and other clerical and administrative duties. This person will assist front office personnel with preparing documents, organizing files, managing existing documents, and generally keeping the office organized and ready for business. The position requires regular interaction with the production floor.

Responsibilities:

  • Greet visitors, answer phones, provide basic company information, take call-ins and message, and communicate as needed

  • Maintain plant security be monitoring incoming visitors

  • Provide input on supplies to be ordered and help to stock them on arrival

  • Assist the HR department with attendance tracking and monitoring timelines for performance management (appraisals, probations, etc.)

  • Assist in planning company events, lunches, and special projects

  • Oversee mail deliveries, packages, or couriers

  • Serve as a backup for some front office tasks and duties

Skills and Qualifications:

  • Knowledge of current office practices, procedures, and techniques

  • Interact with copy, fax machines, and company e-mail

  • MS Office skills – proficient computer skills

  • Excellent verbal and written communication skills

  • Ability to multitask and learn new activities – may serve as a backup for critical plant tasks

  • Knowledge of basic GMPs (good manufacturing practices) and Industrial Safety

-       Noise level is usually moderate but can be loud when in the production area – earplugs are required in some areas

-       Must be able to remain in a stationary position during the shift, using repetitive motion
